Terms of Service

These terms are an agreement between you and RubusArc (“RubusArc”, “we”, “us”) for the use of mabel.chat and the RubusArc service. By creating an account or using the service, you agree to these terms. If you’re agreeing on behalf of a business, you confirm you’re authorised to do so.
1. What RubusArc does
RubusArc is one platform with four things you can do on it. A workspace normally does one of them; the fifth kind below does two.
- Website assistant — builds an AI “front desk” from your website and embeds it on your site to answer visitors by chat and voice, capture leads, and help book appointments. You review and publish it before it goes live, and can edit or unpublish it at any time.
- Assess — for consultants running AI-readiness assessments. You describe an engagement, nominate your client’s stakeholders and invite them by private link, an AI interviewer talks to each of them, and RubusArc compiles a report in which every claim cites the interview it came from.
- Collect — gathers structured information from many people at a distance (client onboarding, supplier checks, staff surveys). Respondents answer by private link and can upload documents.
- Back office — reads documents that arrive on a schedule, in a mailbox or a shared drive you connect, extracts what they say, and files them into a ledger you review.
- Portfolio — for an investor — a fund, a family office, a corporate development team — running Assess and Collect across the companies it holds, in one workspace instead of one per company. It is those two products and adds no others, so their terms apply to it word for word, section 2 included: the people you interview work for the company, not for you.
2. When you use RubusArc on other people’s behalf
Assess and Collect — and therefore Portfolio — are built to reach people who are not you and have no account here: a consultant’s client’s staff, a supplier, a job applicant, an employee, the team at a company you have invested in. Those links are the product working as intended, and they put a chain of responsibility in place worth stating plainly:
- You decide who is contacted, what is asked, and why. RubusArc provides the tooling; it does not choose your recipients or your questions. You confirm you have a lawful basis for the contact and for whatever you collect, and that you have told those people what happens to their answers.
- Acting for a client requires that client’s authority. Inviting your client’s staff to an interview, or their suppliers to a campaign, needs their agreement. RubusArc is a sub-processor in that chain and has no relationship with your client. Holding a stake in a company is not that agreement on its own: a portfolio company’s staff are invited on the company’s authority, the same as any other client’s.
- The people you invite are talking to a machine. Interview and collection links identify RubusArc as an AI. Don’t represent it as a human.
- Special category data. If what you collect includes health, biometric, political, religious, union or similar information, or identity documents, the additional legal basis that requires is yours to establish. RubusArc provides encryption and retention controls; it does not supply your legal basis.
- Don’t promise anonymity RubusArc is not providing. Responses are recorded against the person who gave them, including in staff surveys. If you need genuinely anonymous responses, RubusArc is not the tool for that today.
3. Connecting a mailbox or a drive
Back office needs access to a mailbox or shared drive you nominate. Connect only accounts you own or are authorised to use, and note that a mailbox holds more than the documents you are after: filters narrow what RubusArc processes, but you are choosing to point the service at that account. Credentials are stored encrypted and are never displayed back in readable form. Disconnecting stops all further access.
4. Your account
You’re responsible for your account, your sign-in method, and everything done under it. Keep your credentials secure and let us know promptly of any unauthorised use. You must be at least 18 and provide accurate information.
5. Connecting your website
You may only connect a website you own or are authorised to use. You’re responsible for the content RubusArc learns from and for making sure your assistant’s answers are accurate and appropriate for your business.
6. Acceptable use
Don’t use RubusArc to break the law, infringe others’ rights, send spam or malware, harass people, or attempt to disrupt, reverse-engineer, or gain unauthorised access to the service. Don’t present the assistant as a licensed professional (for example, legal, medical, or financial advice) unless you are one and are permitted to.
7. AI answers, reports and extraction
RubusArc uses AI, which can make mistakes or produce inaccurate answers. You’re responsible for reviewing your assistant before publishing and for how it represents your business. We provide the tools to review, correct, and control it, but we don’t guarantee any specific outcome.
The same applies to everything else the AI writes. An assessment report cites the interview turn behind each claim so you can check it, and a document Back office reads is held for your review before it is counted — but the figures, groupings and recommendations are generated, and checking them before you rely on them or hand them to a client is your responsibility. Estimates in a report are arithmetic over what interviewees said; where they disagreed, the report shows both rather than picking one.
8. Plans, billing & trials
Paid plans are billed in advance through our payment processor and renew automatically until cancelled. You can cancel anytime; access continues to the end of the paid period, and fees already paid are non-refundable except where required by law. A free tier or trial may be offered and changed over time. Prices may change with reasonable notice.
9. Your content & ownership
You keep ownership of your website content, your data, the conversations your assistant handles, and everything gathered through an assessment or a collection campaign — including the reports produced for you. You grant us the permissions needed to run the service for you (for example, to crawl your site, generate and host your assistant, conduct interviews on your behalf, read the documents you point us at, and process conversations). We own the RubusArc platform, software, and brand.
10. Availability
We work to keep RubusArc available and reliable but provide it “as is” without uptime guarantees. We may perform maintenance, and features may change, improve, or be retired.
11. Suspension & termination
You can stop using RubusArc and delete your workspace at any time. We may suspend or terminate accounts that breach these terms, create risk, or misuse the service. On termination, your right to use the service ends; we handle your data as described in our Privacy Policy. One exception is worth knowing in advance: where a collection campaign recorded a retention period for a regulated record, that record is kept until the period ends even if you delete it sooner — the obligation is the reason it was recorded.
12. Disclaimers & liability
To the maximum extent permitted by law, RubusArc is provided without warranties, and we aren’t liable for indirect or consequential losses, or for lost profits, revenue, or data. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim.
13. Changes to these terms
We may update these terms; if we make material changes we’ll take reasonable steps to let you know. Continuing to use RubusArc after changes take effect means you accept the updated terms.
14. Governing law & contact
These terms are governed by the laws of the jurisdiction in which RubusArc is established, without regard to conflict-of-laws rules. Questions? Email support@rubusarc.ai.
